Job Description
OBJECTIVE:
The Business Coordinator is responsible for supporting activities connected with preparation and implementation of sales & marketing strategy, activities, and promotional materials for allocated products within GD/HAE BU department in Poland.
ACCOUNTABILITIES:
Provide General Administrative Support in the office at Business Unit / Department Head level.
Support the BU HEAD and Marketing/Commercial Lead in preparation of internal meetings, external events, congresses, trainings, symposia, round tables, travels arrangement for internal and external customers in line with internal procedures, communication with the HCPs.
Assist in the market research activities and patient support programs.
Manage sales & marketing invoicing and purchase orders according to company systems, procedures, and SOPs.
Support Material preparation (print, digital), administration of materials in Takeda preferred systems.
Support legal activities and contract management including custody and maintenance of documents according to local systems.
Leaflets marketing administration (texts, photos etc.).
Support in the tracking budget for allocated products.
Support organization of regular and annual sales meetings.
Support organization of local meetings: meeting and conference rooms, flipchart, pen, notebooks etc. Archive all related documentation.
Collaborate in the preparation of Brand Plans for allocated products (materials preparation, Power Point presentations preparation and editing).
Cross functionally align communication and actively enable collaboration with Medical Leads, MSLs, PVA, KAMs, Brand Managers and other functions.
Assist in audits (both external and internal).
Printing, distribution of internal materials.
Follows the instructions of the supervisor within an agreed scope of the work
Provide General Administrative Support for BU department with ARIBA tasks, invoices, contract maintenance, vendor management and ad hoc tasks
EDUCATION, BEHAVIOURAL COMPETENCIES AND SKILLS:
Previous experience in supporting position within Pharma
Self-motivated, self-discipline, goal and detail oriented.
Capable of multi-tasking and delivering results in a timely manner.
Experienced in supporting multiple teams
Enjoys broad cooperation with multiple internal stakeholders
Appropriately assertive behavior ensuring expected level of task prioritization and efficacy
Flexible and problem-solving person.
Excellent communication skills and fluent in English.
Good interpersonal skills.
Computer literacy (Excel, Word and PowerPoint).
