Senior Administrative Assistant

Join Takeda as a Senior Administrative Assistant reporting into the Vice President of the Dermatology Franchise; this role provides comprehensive administrative and executive support to the organization. This role supports senior leaders by managing office operations, coordinating complex tasks, overseeing calendars and meeting logistics, and facilitating strategic communications. Through effective organization and proactive support, this position contributes to Takeda's mission and operational excellence.
At this level, you will utilize your specialized skills to tackle complex tasks, often supporting an executive at a senior level. You will excel at identifying innovative solutions to administrative challenges and handling assignments that demand judgment and initiative. This position requires a deep understanding of job processes, procedures, and systems, typically accompanied by solid experience in a similar role. You will frequently engage in strategic communications, requiring skill and diplomacy, with contacts both within and outside the organization.
How You Will Contribute
Coordinate executive calendars, schedule and set up meetings, and manage meeting logistics using Microsoft Outlook
Book and coordinate domestic and international travel, including flights, hotels, transportation, and itineraries
Manage office supplies efficiently, ensuring all resources are available for smooth office operations
Handle multiple tasks simultaneously with precision under minimal supervision
Input data accurately into digital systems, maintaining integrity and confidentiality of information
Process invoices and manage budget allocations with attention to detail and accuracy
Communicate effectively over the phone, providing clear information and routing calls appropriately
Create and deliver engaging presentations, utilizing strong communication skills to influence and inform audiences
Organize tasks and priorities effectively, ensuring timely completion of assignments
Maintain professionalism in all interactions, upholding the company's reputation and values
Manage time efficiently, meeting deadlines and managing workload effectively
Produce well-written documents, demonstrating strong writing and grammar skills
Engage in strategic communications, skillfully handling complex interactions with internal and external stakeholders
Provide assistance and training to lower-level employees
Minimum Requirements/Qualifications:
Advanced proficiency with Microsoft Outlook, including calendar management, meeting coordination, and scheduling across multiple time zones
Experience using AI tools to drive efficiency and innovation
Experience booking and coordinating travel logistics
Manages office supplies efficiently, ensuring all resources are available for smooth office operations

USA - MA - Cambridge - Kendall Square - 500U.S. Hourly Wage Range:
$28.27 - $44.42
The estimated hourly wage range reflects an anticipated range for this position. The actual hourly wage offered may depend on a variety of factors, including the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job. The actual hourly wage offered will be in accordance with state or local minimum wage requirements for the job location.
U.S. based employees may be eligible for short-term incentives. U.S. based employees may be eligible to participate in medical, dental, vision insurance, a 401(k) plan and company match, short-term and long-term disability coverage, basic life insurance, a tuition reimbursement program, paid volunteer time off, company holidays, and well-being benefits, among others. U.S. based employees are also eligible to receive, per calendar year, up to 80 hours of sick time, and new hires are eligible to accrue up to 120 hours of paid vacation.
